Back Up OneDrive Online-Only Files to an External Drive

OneDrive Files On-Demand can show a file name in File Explorer even when its content is not stored locally. A local backup should not be assumed to contain an online-only file merely because a placeholder appeared in the selected folder. Confirm which files are hydrated before relying on an external copy.

Check OneDrive file status

Step 1. Open the OneDrive folder in File Explorer and review the Status column. A cloud icon means the file is online-only. A green check indicates local availability; “Always keep on this device” keeps a copy on the PC.

Step 2. Confirm OneDrive is signed in and synchronization is complete. Resolve errors and conflicts before making the offline copy.

Step 3. Estimate the required local and external capacity. Downloading an entire large cloud library may exceed the PC's free space, so work in smaller folders when needed.

Make the selected files local

Right-click the folder or files you need and choose Always keep on this device. Wait until the status changes, then disconnect from the network briefly and open a sample document or image. Microsoft's Files On-Demand guide explains the status icons. Do not use “Free up space” until the external backup has been tested.

Create an external Qiling file backup

Step 1. Attach an external drive, open Backup and Recovery > File backup, and expand Computer to the locally available OneDrive folder.

Step 2. Select the intended folders in the tree, review Filters, then choose the external drive as Destination. Do not select the same OneDrive folder as destination.

Step 3. Click Proceed and wait for completion. Browse a backup point and restore sample files to a test folder while offline to confirm that content, not just names, was captured.

Maintain two independent copies

OneDrive sync mirrors changes and deletions; it is not the same as an independent historical backup. Keep the external image disconnected when not in use, and repeat the local-download check for new cloud-only files before each major archive. If your organization controls OneDrive policies, check its retention requirements before moving data.
